GENERAL PURPOSE: 8/2018

To perform a variety of routine and complex duties including administrative, secretarial and reporting work in support of the activities and operations of the Planning Department.


SUPERVISION RECEIVED AND EXERCISED:

Receives direct supervision from the City Planner.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Accepts and processes Planning Department applications. Review data for completeness and receipts funds for permit and filing fees.


Prepares and posts Public Notices for Planning and Zoning Commission, Board of Adjustment and other departmental boards or committees, including verification of dates and schedules in order to meet City Code and Statutory requirements.


Prepares and mails notices to property owners as required by City Code and Statutory requirements for all Planning and Development Services activities.


Keeps record of all ongoing zoning, variance and plat cases and coordinates with project leads regarding current status and needs to facilitate an efficient development process.


Schedules building inspections, code inspections, and other development meetings as needed.


Maintains records regarding Planning Department permits, cases and projects.


Provides staff support for department and commission meetings as assigned.


Securing and transcribing minutes for departmental boards and committees.


Responsible for continuous record keeping of the past minutes of all meetings.


Aid the City Planner in preparation of major reports and ordinance revisions as needed.


Receives the public and answers questions; responds to inquiries from citizens and others, and refers, when necessary, to appropriate persons.


Prepares purchase orders/payment requisitions for department as needed.


Departmental meetings require that the employee stay after hours for meetings on a regular basis.


Must be able to follow directions.


Performs other essential duties as required to achieve successful operation of the department.

Regular and timely attendance is an essential job function.


PERIPHERAL DUTIES:

May serve as a member of other City committees.


Other duties as assigned.


DESIRED MINIMUM QUALIFICATIONS:

Graduation from High School or equivalent, and


Minimum two (2) years experience in Urban Planning or Development office, Public Administration, or associated field preferable, or


Any equivalent combination of related education and experience.


Must possess a valid Texas Driver's License by date of hire.


Must be a licensed Notary Public or meet the requirements for securing a license within six (6) months of employment.


Must possess strong organizational skills.


KNOWLEDGE SKILLS AND ABILITIES:

Knowledge and proficiency in use of computers and must be proficient in Microsoft Office to include Word, Excel, Outlook and PowerPoint;


Skill in use of geographic information systems software;


Ability to communicate effectively orally and in writing, in the English language, with the general public;


Ability to establish and maintain effective working relationships.


TOOLS AND EQUIPMENT USED:

Skill in use of standard planning office equipment, including personal computers, large format printers, networked devices, photocopier, fax, automobile etc.


SELECTION GUIDELINES:

Formal application; review of education and experience; oral interview; background check; successful completion of a drug screen. Job related tests may be required.

Work is performed mostly in office settings. Hand-eye coordination is necessary to operate computers and various pieces of office equipment. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
